Plain terms for gym software. They describe what we run, what you owe, and what happens to your data when you leave. Where a number appears below it is the number in the software, not a rounded one.
Primodojo is software for running a martial arts academy. Creating an account means you accept these terms on behalf of yourself and the academy you set up. If you are accepting them for a gym you do not own, you are confirming you have the authority to.
Primodojo is currently run by its founder rather than by an incorporated company. We say so plainly because it changes what you can reasonably expect: support comes from the person who wrote the code, and there is no support organisation behind them. If that changes, this section changes with it and we will tell you before it takes effect.
You need an email address and a password. Signing up creates one academy, and one account creates one academy. You can be invited into other academies as staff, and you can invite as many staff as you like into yours at no extra cost.
Accounts are for adults. Members of your gym, including children, do not get accounts. They are records you create, and where a child is involved their parent or guardian signs for them. See the privacy policy for what that means in practice.
You are responsible for what happens under your login and for the staff you invite. Sharing a password with the front desk is a decision with consequences we cannot undo for you.
We provide the tools. You run the gym. Everything you put into Primodojo, your roster, your schedule, your rank ladders, your waiver text, your notes, remains yours, and we make no claim over it.
That division decides most of the questions people ask. Whether a member owes you money, whether a waiver you wrote holds up, whether a coach should have been paid for a session: those are yours. Whether the software adds it up correctly is ours.
We do not sell your data, we do not sell your members' data, and there is no advertising anywhere in the product.
The trial runs 30 days and does not ask for a card. Nothing charges automatically at the end of it. If you never subscribe, the trial simply ends and the dashboard stops letting you in.

Subscriptions renew automatically until you cancel. Cancelling stops the next renewal and leaves your account working until the end of the period you already paid for. We do not refund the remainder of a period you have started, and nothing in these terms limits a refund you are owed by law.
Changing plan mid-period is prorated by Stripe in the usual way. Cancelling, switching plans, updating a card and downloading invoices all happen in the billing portal, which we hand off to Stripe rather than rebuilding.
Prices can change. If yours does, you get notice before it applies to a renewal, and cancelling instead is always an option.
Dues are between you and your member. You connect your own Stripe or Square account, charges land in it directly, and the money never passes through us. We are not the merchant of record for anything your gym sells.
We take no percentage of your dues. Your processor charges its normal rate, around 2.9% plus 30 cents for an online card, billed by them and not marked up by us.
Because the money is theirs to move, your processor's own terms govern it: chargebacks, payout timing, holds, and account reviews are decided by Stripe or Square. Refunding a member is something you do, and we cannot do it for you.
When a member's card fails we retry on a fixed schedule and email them about it. That is a convenience, not a collection service. Whether an unpaid member trains is your call to make.
The short version: run your gym, do not use our infrastructure against anyone.
Security research is welcome if you tell us first and do not test against another academy's live data. Write to us and we will answer.
We can suspend an account that is causing active harm to other academies or to the platform. We would rather email you first, and in anything short of an emergency we will.
Primodojo records waiver signatures and parental consent, keeps the exact text that was agreed to, and stores the evidence behind each one: the typed legal name, the timestamp, the IP address and the browser. That is what makes an electronic signature hold up under the ESIGN Act and UETA.
What we do not do is tell you what your waiver should say. Any template we ship is a starting point, not legal advice, and waiver enforceability varies enough between states that a local attorney is worth the hour. The text you use is yours, and so is the risk in it.
We do not offer a service level agreement, and we are not going to pretend to one. The honest description is a single small deployment, watched by one person, that will occasionally be down.
Support is email, at support@primodojo.com, answered by the person who wrote the code. Usually the same day. No guaranteed response time, and no phone line.
Features change. We add things, and occasionally we remove something that turned out to be wrong. If something you rely on is going away you get notice and an export, not a surprise.
You can export everything, at any point, without asking us. The export is a zip of CSVs covering every table in your academy: roster, guardians, attendance, bookings, ranks and promotions, plans and payments, waiver text and signatures, consent records, curriculum, competitions, payroll and leads. It is ordinary CSV, openable in a spreadsheet, importable into whatever you move to.
Closing an academy happens in two stages. Scheduling it locks the dashboard and stops your subscription renewing, and everything is still there. Thirty days later it is purged for real: files deleted, member subscriptions cancelled at your processor, records gone. Inside those 30 days you can undo it. After them we cannot, because there is nothing left to undo it from.
Export first. The 30-day window is a safety net for a change of mind, not a place to leave your only copy.
If we ever shut Primodojo down, you get notice and time to export before anything is deleted.
The software is provided as it is. We do not warrant that it is free of defects or that it will be available when you need it, and the availability section above says why that is a real caveat rather than a formality.
To the extent the law allows, we are not liable for lost profits, lost members, or indirect and consequential damage, and our total liability for any claim is capped at what you paid us in the twelve months before it. At $29 to $49 a month that is a small number, which is the honest trade for the price.
Nothing here limits liability that cannot be limited by law, including for fraud or for death and personal injury caused by negligence.
Injuries on your mats are yours. Primodojo is administrative software and has never been between a member and a training session.
We can update these terms. The effective date at the top moves when we do, and for a change that materially affects you we will email the account owner before it applies rather than quietly editing the page.
If a change does not work for you, cancelling before it takes effect is the remedy.
